Last updated: 27 August 2026
1. Who we are
Open Dock (ABN 25 921 304 138) is an Australian procurement and supply chain management business based in Sydney, New South Wales. In this policy, "we", "us" and "our" mean Open Dock. "Platform" means the Open Dock internal client system used to manage quotes, orders, shipments and support.
We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
2. Information we collect
- Enquiry and quote data: name, business name, email, phone, product brief, quantity, budget, timeline and delivery location.
- Support data: your name, email, company, order references and the content of your support messages.
- Platform account data: account identifiers, authentication metadata, roles, and audit records of actions taken in the Platform.
- Commercial data: order, shipment, inspection, invoice and payment records associated with your business.
- Technical data: IP address, device and browser information, pages viewed and approximate location derived from IP, collected through server logs and analytics.
We do not knowingly collect sensitive information, government identifiers or payment card numbers through this website. Please do not send them to us by email or through our forms.
3. How we collect it
We collect information directly from you when you submit a form, email us, sign an agreement, or use the Platform. We also collect technical information automatically through cookies and server logs, and occasionally receive information from suppliers, freight forwarders, inspection agencies and customs brokers acting on your order.
4. Why we use it
- To respond to enquiries and prepare quotes.
- To source, negotiate with, and manage suppliers on your behalf.
- To arrange inspection, freight, customs clearance and delivery.
- To provide and secure the Platform, including access control and audit logging.
- To provide support, invoice you, and maintain business records.
- To improve our website and services, and to meet legal obligations.
We only use your information for the purpose it was collected, a directly related purpose you would reasonably expect, or a purpose you have consented to.
5. Direct marketing
We may send service updates and occasional commercial messages to business contacts. Every message includes an unsubscribe option, and you can opt out at any time by emailing info@opendock.com.au. We do not sell personal information.
6. Who we disclose it to
- Manufacturers and suppliers, limited to what is needed to quote and produce.
- Inspection agencies, freight forwarders, customs brokers and carriers.
- Technology providers who host our website, database, email and analytics under contract.
- Our accountants, insurers and legal advisers.
- Regulators or law enforcement where required or authorised by law.
We do not disclose your commercial terms to other clients, and we require our service providers to protect your information to a standard consistent with this policy.
7. Overseas disclosure
Because we source internationally, we routinely disclose limited personal information, typically a contact name, delivery details and order specification, to recipients in countries including China, Vietnam, India, Taiwan, Malaysia and Thailand, and to freight partners in Singapore, Hong Kong and the United Arab Emirates. Some of our hosting and analytics providers store data in the United States and the European Union.
We take reasonable steps to ensure overseas recipients handle your information consistent with the APPs, but the law of the destination country may differ from Australian law.
8. Security
We hold information in access-controlled cloud services. We use encryption in transit, role-based access, least-privilege credentials, audit logging of Platform activity, and server-side validation on all forms. Access to client data is limited to staff who need it to perform their role.
No system is perfectly secure. If we suspect an eligible data breach we will assess and respond under the Notifiable Data Breaches scheme, and notify affected individuals and the Office of the Australian Information Commissioner (OAIC) where required.
9. Retention
We keep enquiry records for up to 2 years where no engagement follows. Client, order and financial records are kept for at least 7 years to meet Australian tax and corporate record-keeping obligations. Platform audit logs are retained for 12 months. When information is no longer needed and we are not required to keep it, we destroy or de-identify it.
10. Cookies and analytics
We use strictly necessary cookies to operate the website and the Platform (including session and security cookies), and may use privacy-respecting analytics to understand aggregate usage. You can block or delete cookies in your browser, though parts of the Platform will not function without session cookies. We honour browser "prefers-reduced-motion" and do not run cross-site advertising trackers.

You can ask for access to the personal information we hold about you, or ask us to correct it, by emailing info@opendock.com.au. We will respond within 30 days. If we refuse access, we will explain why in writing.

We may update this policy as our services change. The current version always appears on this page with its effective date.
